Privacy Policy
Last Updated: 8/10/2026
This Privacy Policy explains what information Northern Air Heating & Cooling (“Northern Air,” “we,” “us,” or “our”) collects when you visit our website or use our services, how we use that information, and the choices you have. We may update this policy from time to time, so we encourage you to check back occasionally.
Text messages: we do not share your opt-in. Northern Air will never sell, rent, or share your mobile phone number, your text message opt-in, or your consent to receive text messages with any third party for their own marketing purposes. You can stop our text messages at any time by replying STOP. Full details are in Section 2 below.
1. What Information Do We Collect?
Personal information you give us
In short: We collect personal information that you choose to share with us.
We collect personal information you provide when you request a quote, schedule service, sign up for updates, or otherwise contact us. Depending on how you interact with us, this may include:
- Name
- Phone number
- Email address
- Mailing or service address
- Your communication preferences, including whether you have agreed to receive calls or text messages from us, and the date and source of that consent
We do not process sensitive information, such as details about race, religion, or health.
Please make sure any information you give us is accurate, complete, and current, and let us know if anything changes.
Information collected automatically
In short: Some information, like your IP address and browser type, is collected automatically when you visit our website.
When you visit or use our website, we automatically collect certain technical information. This does not reveal your specific identity, but may include your IP address, browser and device characteristics, operating system, general location, and how you use our site. We use this information to keep our website secure and operating properly, and for internal analytics and reporting.
Like most businesses, we also use cookies and similar technologies. The information we collect this way includes:
- Log and usage data — service-related, diagnostic, and performance information, such as pages viewed, timestamps, and any errors encountered.
- Device data — information about the computer, phone, or tablet you use to visit our site, such as browser type, hardware model, operating system, and internet or mobile carrier.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

We may use the information we collect to:
- Schedule and provide the HVAC services you request
- Communicate with you about appointments, estimates, and follow-ups

- Meet our legal obligations
- With your consent, send marketing communications such as seasonal specials or maintenance reminders
- With your consent, send you text messages such as appointment confirmations, technician updates, service follow-ups, review requests, and seasonal offers
We do not use your information for purposes beyond these without your consent.
Text Messaging (SMS)
We will not share your text messaging information. Northern Air does not sell, rent, trade, or share your mobile phone number, your text message opt-in, or your consent to receive text messages with any third party for that third party’s own marketing purposes. This information is used only by Northern Air Heating & Cooling to send you the messages you asked to receive.
If you give us your mobile number and agree to receive text messages, we use it only to send you messages from Northern Air Heating & Cooling. Who has access. We share your mobile number only with the service providers that operate our messaging and scheduling systems, and only so that they can deliver these messages on our behalf. Those providers are contractually restricted from using your information for their own purposes, including their own marketing.
Message frequency and rates. Message frequency may vary. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
How to opt out. You can stop receiving text messages from us at any time by replying STOP to any message you receive from us. We will send one confirmation message, and after that we will not send you any further text messages unless you opt back in. How to get help. Reply HELP to any message you receive from us for assistance, or call us at (970) 223-8873.
Consent is optional. Agreeing to receive text messages is never required in order to request service, submit a form, or purchase anything from us. If you choose not to opt in, we will still contact you about the service you requested by phone or email.
3. When and With Whom Do We Share Your Personal Information?
In short: We may share information in the specific situations described below.
Business transfers. If Northern Air is involved in a merger, acquisition, financing, or sale of company assets, your information may be shared or transferred as part of that transaction.
Google Maps Platform APIs. We may share information with Google Maps Platform APIs (for example, to help estimate service areas or provide directions). Google Maps uses GPS, Wi-Fi, and cell towers to estimate location; this data is not always perfectly precise.
Service providers. We share personal information with the vendors who help us run our business, such as our field service and scheduling software, our messaging and email platforms, payment and financing processors, and our marketing partners. These providers may use your information only to perform services for us, and are not permitted to use it for their own marketing purposes.
Text messaging providers. We share your mobile number and the content of messages with the providers that operate our text messaging system, only so they can deliver messages on our behalf. We do not sell, rent, or share your mobile phone number, your text message opt-in, or your consent to receive text messages with any third party for that third party’s own marketing purposes.
4. Do We Use Cookies and Other Tracking Technologies?
In short: Yes. We use cookies and similar tools to help our website run smoothly and to understand how visitors use our site.
We use cookies and similar technologies (like pixels and web beacons) to help maintain the security of our site, remember your preferences, and support basic site functions. We also allow trusted partners to use tracking technologies for analytics and advertising, including to tailor ads about our services to your interests, which may appear on our site or elsewhere.
If these tracking technologies are considered a “sale” or “sharing” of information under applicable state privacy laws (including for targeted advertising), you can opt out as described under “Do United States Residents Have Specific Privacy Rights?” below.
This does not apply to text messaging. Your mobile phone number and your text message opt-in are never sold or shared with third parties for advertising or for their own marketing purposes.
Google Analytics. We use Google Analytics to understand how visitors use our website. You can opt out at https://tools.google.com/dlpage/gaoptout. For more on Google’s privacy practices, visit Google’s Privacy & Terms page.
5. How Long Do We Keep Your Information?
In short: We keep your information only as long as necessary, unless the law requires us to keep it longer.
We retain personal information only as long as necessary for the purposes described in this policy, unless a longer retention period is required by law (for example, tax or accounting requirements). Once we no longer have a legitimate business need to use your information, we securely delete or anonymize it, or, if that isn’t possible, securely store it and restrict further use until deletion is possible.
6. How Do We Keep Your Information Safe?
In short: We use reasonable organizational and technical safeguards to protect your information.
We’ve put in place safeguards designed to protect the personal information we process. That said, no method of transmitting or storing data online can be guaranteed 100% secure, so we cannot promise that your information will never be accessed by someone who shouldn’t have it. Any information you transmit to us online is at your own risk.
7. Do We Collect Information From Minors?
In short: No, we do not knowingly collect information from anyone under 18.
Our services are intended for adults. We do not knowingly collect or solicit information from, or market to, children under the age of 18. By using our website, you confirm that you are at least 18, or that you are a parent or guardian consenting to a minor dependent’s use of our services. If we learn we’ve collected information from someone under 18, we will take steps to delete it. If you believe we may have information from a minor, please contact us at (970) 223-8873.
8. What Are Your Privacy Rights?
In short: You can review, update, or withdraw consent regarding your information at any time, depending on where you live.
Withdrawing consent. If we rely on your consent to process your information, you may withdraw it at any time by contacting us using the details in “How Can You Contact Us About This Notice?” below. This will not affect anything we did before you withdrew consent.
Cookies. Most browsers accept cookies by default. You can typically change your browser settings to remove or reject cookies, though this may affect certain features of our site.
Text messages. If you have opted in to receive text messages from us, you can opt out at any time by replying STOP to any message. Reply HELP for assistance, or call us at (970) 223-8873.
If you have questions about your privacy rights, contact us using the details in Section 12 below.
9. Controls for Do-Not-Track Features
Some browsers include a “Do Not Track” (DNT) signal. Because no uniform standard for recognizing and honoring DNT signals has been finalized, we do not currently respond to DNT browser signals. If a legal standard is adopted that we are required to follow, we will update this policy accordingly.
California residents: California law requires that we disclose how we respond to browser DNT signals. As noted above, we do not currently respond to them.
